−60% Dispatch Time — Custom Courier Management System

A Dubai last-mile logistics company was dispatching 400+ daily deliveries using WhatsApp groups and manual spreadsheets. Al Wafaa Group built a custom courier management system — dispatch time dropped 60% and the platform paid for itself within 4 months.

The Problem

A Dubai logistics company handling 400+ last-mile deliveries per day was operating entirely on WhatsApp groups and Excel spreadsheets. Dispatchers manually assigned drivers by searching through a contacts list, delivery status updates came via WhatsApp messages that were easy to miss, and COD (cash-on-delivery) reconciliation at end of day took 3–4 hours and regularly produced discrepancies of AED 2,000–8,000 per week.

The company evaluated off-the-shelf logistics SaaS products but found none could handle their specific workflow: scanned chain-of-custody for high-value items, partial delivery recording, auto route optimisation within Dubai zones, and integration with their Oracle ERP system for invoicing.

The Solution

Al Wafaa Group designed and built a four-component courier management platform over 14 weeks:

  • Merchant portal (web): Clients upload delivery manifests via CSV or API, track shipments in real time, and download POD (proof of delivery) reports. Branded portal with each merchant's logo.
  • Operations app (Flutter — iOS + Android): Dispatcher view with auto-assigned delivery routes by zone. Real-time driver GPS tracking. One-tap reassignment for failed deliveries. Scanned chain of custody at pickup and dropoff. COD collection recorded in-app with driver signature.
  • Admin dashboard (Next.js): Fleet overview, daily performance metrics, COD reconciliation report (zero discrepancies since launch), SLA breach alerts, and driver ratings.
  • Oracle ERP integration: Completed deliveries automatically create invoices in Oracle. No manual data entry between the platform and finance.

The Results

Dispatch time per delivery dropped from an average of 8.5 minutes (manual WhatsApp assignment) to 3.4 minutes (auto-assigned via the app) — a 60% reduction. The operations team reduced headcount from 6 dispatchers to 4, with the remaining 2 redeployed to customer service.

COD reconciliation discrepancies dropped to zero in the first month. End-of-day reconciliation time fell from 3–4 hours to 25 minutes. The platform paid for itself — compared to the cost of the headcount reduction alone — within 4 months of launch.

The company subsequently contracted Al Wafaa Group to add an AI route optimisation module that reduced average fuel cost per delivery by 18% over the following 6 months.
